Job Summary
The Assistant Property Manager is responsible for a range of tasks related to residential leasing and property administration.
Your Role
Respond to general inquiries across all advertising platforms, including phone calls, text messages, Building Stack, and the email inbox: info@karmel.ca
Conduct reference checks with employers and previous landlords (CORPIQ).
Prepare leases, annexes, building regulations, and related documents, and obtain tenants’ signatures.
Follow administrative procedures for move-ins and move-outs (see checklists).
Update databases for building access, including key fobs, keys, codes, and intercom systems.
Process administrative requests related to existing leases (cancellations, transfers/assignments, renewals, and modifications).
Update tenant information (personal details, banking information, and other relevant data).
Coordinate arrival and departure schedules with the property manager and park supervisors/concierge staff.
Respond to administrative follow-up requests, such as signature tracking and follow-ups on complaints or other requests delegated by the property manager.
Draft and send renewal notices to tenants, RL-31 slips, notices and warnings (non-compliance with regulations, construction notices, etc.), and move-out letters.
Support the property manager in preparing files for dispute resolution cases before the Administrative Housing Tribunal (TAL).
Required Experience and Skills
Significant experience in administering tasks related to residential leasing.
AEC in Property Management or DEC in Administrative Techniques or Office Management.
Knowledge of standards, laws, and regulations related to the housing board and property management (an asset).
Bilingual (mandatory).
Strong interest and aptitude for high-quality customer service.
Excellent organizational skills and autonomy.
Strong time management and prioritization skills.
Ability to handle multiple files simultaneously.
